“Reflect for a moment on what it actually might be like if your personal management situation were totally under control, at all levels and at all times. What if you had completely clear mental space, with nothing pulling or pushing on you unproductively? What if you could dedicate fully 100 percent of your attention to whatever was at hand, at your own choosing, with no distraction?”
– David Allen
Here’s how: Bumuo ng isang pinagkakatiwalaang Sistema (an external brain), and actively capture, clarify, and remind yourself of whatever you need to do at the time you need to do it. Narito ang GTD system ni David Allen (Getting Things Done) at ang tatlong habits that allow the GTD to be successful.
CAPTURE
“There is no reason to ever have the same thought twice, unless you like having that thought…Anything you consider unfinished in any way must be captured in a trusted system outside your mind, or what I call a collection tool, that you know you’ll come back to regularly and sort through.”
‐ David Allen
CUE: Think of an idea or an action item.
ACTION: Capture the idea or action item in Evernote by using the Evernote app on your Smartphone.
Gumagamit ako ng Evernote, but you could use any other list-making app sa iyong smartphone. Kung wala kang dalang smartphone, magdala ng maliit na notepad at pen to capture items. The tool you use doesn’t matter. Ang mahalaga ay kung gaano kabilis mong ma-capture ang mga items. Capture ideas and actions in their rawest form. Ikaw and magpapasya kung ano ang gagawin sa mga items that you capture during the next phase:
PROCESS
“You must clarify exactly what your commitment is and decide what you have to do, if anything, to make progress toward fulfilling it…You must use your mind to get things off your mind.”
‐ David Allen
CUE: Receive a daily calendar notification at 4PM.
ACTION: (1) Open capture list within Evernote, tingnan ang isang item one at a time (simula sa taas) and ask: “Is this useful and do I want to act on this soon?” (2a) Kung HINDI: add action to someday/maybe list or idea to a reference folder. Kung walang silbi, delete it. (2b) Kung OO: convert item to a next physical action, tukuyin ang nais na resulta, at magdagdag ng nais na outcome sa listahan ng project kung higit sa isang aksyon ang required to achieve the desired outcome. Then complete the action item in 2-minutes or less OR move it to an appropriate location
Note: Never spend more than 2 minutes on any one item; clarify or complete each item in 2 minutes or less.
REVIEW
“The more complete the system is, the more you’ll trust it. And the more you trust it, the more you’ll be motivated to keep it…(each week) Get clean, clear, current, and complete.”
– David Allen
CUE: Receive a weekly calendar notification on 3PM each Friday
ACTION: (1) Spend 5 minutes writing a 3 to 5-year vision & 1‐year goals: “What do I want a typical day to look like 3‐5 years from now? Anong mga layunin ang kailangan kong makamit sa susunod na taon upang maisakatuparan ang aking three to five-year vision?” (2) Review project list – delete completed or unnecessary projects, and then prioritize the top 3. (3) Review next action lists – delete completed or unnecessary actions, and then prioritize the top 10.
